Planners assume the responsibilities, all contributing to the big-picture success of an event’s execution. Responsibilities include developing a comprehensive plan for your STO, capital project, or maintenance event, including identifying all necessary tasks, resources, and schedules. This typically includes evaluation and prioritization of maintenance and inspection requirements, along with building the plan for shutdown, maintenance, and start-up operations. Coordinating with various departments and teams to ensure the event is executed smoothly and efficiently, with a particular focus on making sure human capital is used effectively to complete the event on time and on budget. Managing the procurement and delivery of materials and equipment needed for the event. Coordinating with contractors and vendors to ensure their work is completed on time and to specification. Scheduling

Schedulers are responsible for setting timeframe expectations at the beginning of an event’s execution, verifying progress throughout, and coordinating with all team members to ensure the schedule and forecasted status remain accurate. They mobilize to the field and provide daily expectations for management, as well as ensure that every phase is accurately reflected in reporting. It is the scheduler’s responsibility to assist staff in developing job plans, estimates, and procedures that support adherence to the schedule. Accurate and expert scheduling is essential to deliver event outcomes on par with the best in the industry.

Project Manager

Project managers oversee the execution of every phase of the project. They’re engaged in the planning process to ensure maximum understanding of the work required throughout the project’s lifecycle. Their focus lies in part on schedule and budget adherence, as well as quality control and safety precautions. They offer direction and support to the team and ensure they’re following established policies and procedures. Project Managers are responsible for overseeing all event activities and ensuring all materials and equipment are available and in working condition. They must effectively communicate with the appropriate team members and work to make sure they have what they need to quickly and successfully do their assigned task. Their role also includes troubleshooting should any equipment be unavailable or fail to perform as expected, and communicating their decision to both contractors and stakeholders.
